How we handle the information you give us when you get in touch, written in plain language rather than legal boilerplate.

Data controller Rowlec Limited
Rowlec Limited takes the information you share with us seriously. This policy explains what we collect through this website, why we collect it, how long we hold it and what you can ask us to do with it. It covers this website only. If you already buy from us, the information we hold as part of your trading account is covered by the terms of that relationship as well.
Who we are
Rowlec Limited is the data controller for the personal information described in this policy. We are registered in England and Wales under company number 07033144.

The information we collect
Our enquiry form asks for the information you choose to provide. That is:
- your name
- the company you work for
- your email address
- your telephone number, which is optional
- the type of enquiry you have selected
- the message you write, including any part numbers or machine details you give us
We also record which page of the site you were on when you sent the enquiry, so that we know what you were looking at and can answer properly.
There are no accounts to create on this website, we do not ask for payment details here, and we do not buy in marketing lists to use with it. Like any website, the server that hosts this site keeps short lived technical logs that can include your IP address. Those exist for security and diagnostics, and we do not use them to build any profile of you.
Website AI assistant
If you use our optional AI chat, your message and recent conversation are sent to our AI service provider to generate an answer about Rowlec. Please do not include personal, sensitive or confidential information. The chat is automated and can make mistakes. Use our contact form to speak to the team or request a quotation.
The conversation is held in this page's memory and cleared when you reload or leave the page, or choose Clear chat. We do not save chat transcripts in our application database. Contact us if you would like more information about how chat messages are processed.
Why we use it, and our lawful basis
We use what you send us to answer your enquiry. In practice that means reading it, passing it to the person best placed to help, checking stock or sourcing options, preparing a quotation and getting back to you.
- Legitimate interests. Responding to a business enquiry is in our legitimate interests as a supplier and in yours as the person who asked. The information involved is ordinary business contact information, you have given it to us deliberately, and we use it only for the purpose you gave it to us for.
- Consent. The enquiry form asks you to confirm you are happy for us to use your details to reply. Where we rely on consent you can withdraw it at any time, and withdrawing it does not affect anything we did before you withdrew it.
- Legal obligation. If your enquiry turns into an order, we keep the records that tax and company law require us to keep.
We do not add enquirers to a marketing list automatically. If we ever want to send you anything beyond a reply to your enquiry, we will ask you first.
How long we keep it
Website enquiries are kept for 24 months from our last contact with you about them, then deleted. That gives us long enough to pick up a conversation that went quiet, and to answer questions about a quotation we sent you, without holding information we no longer need.
If your enquiry becomes an order, the details move into our normal customer records and are kept for as long as we trade with you, plus the period we are required to retain financial records, which is ordinarily six years.
Who we share it with
We do not sell your information, and we do not share it with anyone for their own marketing. Our website suppliers include:
- Our email delivery provider. Enquiries sent through this website are delivered to us by email through a third party email service. That provider processes the message on our instructions so that it reaches our inbox, and does not use it for its own purposes.
- Our website hosting provider. They run the servers this site sits on, which means they hold the technical logs described above.
- GhostlyX, our website analytics provider. It counts page views, referring sites and broad device and country information so we can see how the site is used. It sets no cookies, does not identify you and does not follow you across other websites.
Each acts under a written agreement that requires them to keep your information secure and to use it only as we tell them to. Where a supplier processes information outside the UK, we rely on the safeguards UK data protection law allows, such as an adequacy decision or the UK addendum to the standard contractual clauses.
We may also disclose information where the law requires it, or to establish or defend a legal claim.
Cookies
This website sets only the cookies it needs to work. There are two of them, and both are set by the Laravel framework the site is built on:
- a session cookie, which keeps track of your visit while you move between pages so that things such as the enquiry form behave correctly
- a CSRF token cookie, which is a security measure that proves a form submission genuinely came from this website
Both are strictly necessary for the site to function, which is why you are not asked to consent to them. We set no advertising cookies and no analytics cookies. Our visitor statistics come from GhostlyX, which is cookieless and does not identify you, as described above. If we ever add anything that needs cookies, we will ask for your consent first and update this policy.
Keeping your information secure
The site is served over an encrypted connection, access to enquiries is limited to the people who need it to do their job, and the enquiry form is rate limited and protected against automated submissions. No system is ever perfectly secure, but we take sensible measures proportionate to the ordinary business contact information involved.
Your rights
Under UK GDPR you have the right to:
- Access the personal information we hold about you, and receive a copy of it
- Rectification, meaning correction of anything inaccurate or incomplete
- Erasure of your information where we no longer have a good reason to hold it
- Restriction of how we use it while a question about it is resolved
- Objection to our use of it where we rely on legitimate interests
- Portability, meaning a copy in a structured, commonly used, machine readable format
- Withdraw consent at any time where consent is what we relied on
To exercise any of these, email sales@rowlec.com or write to us at the address above and tell us what you would like us to do. There is no charge. We will respond within one month, and we may ask you for enough information to satisfy ourselves who you are before we act.
Complaints
If you are unhappy with how we have handled your information, please tell us first so that we can put it right. You also have the right to complain to the Information Commissioner's Office, the UK supervisory authority for data protection.
